What we collect, how we use it, what we never do with it — and the choices your company has. Last updated: November 4, 2026.
One product, two names: NSPIRE Photo-Check and REAC Photo-Check are the same product and the same account — use whichever name your team knows. This page covers both.
NSPIRE Photo-Check is a web application operated by All Building Services LLC (“we,” “us”). It helps apartment property teams prepare for HUD REAC/NSPIRE inspections: walking properties with a standards-based checklist, recording photos and notes, tracking deficiencies to verified repair, and producing readiness reports.
Questions about this policy or your data: otto@renovatemyapartment.com · (973) 221-9576.
Account information. When a company signs up, we collect the company name, the account owner’s name, a business email address, and a mobile phone number. Email and phone are verified with one-time codes during signup. We also record the IP address used at signup and check the phone number’s line type (mobile vs. landline/VoIP) — both are used only to protect the free trial from abuse.
Team profiles. Each team member has a profile with their name, role (Property Manager, Senior Property Manager, Superintendent, or Maintenance Tech), preferred language (English, Spanish, or Portuguese), the properties they’re assigned to, and an optional sign-in PIN. PINs are stored only as scrambled (hashed) values — we cannot see your PIN.
Property and inspection data. The core of the service: property names and addresses, inspection rounds, checklist results, deficiency records, assignments and due dates, repair and verification status, photos taken during inspections (including any markings drawn on them), free-text notes, inspector signatures on completed reports, and the reports themselves.
Uploaded inspection reports (Plus). If you use the Fail Recovery feature, you may upload an official HUD/REAC inspection report (PDF or photos of pages). We store the file and the deficiencies extracted from it so you can build your fix list.
Payment information. Subscriptions are paid through Stripe using Stripe’s payment pages. Your card number goes to Stripe, not to us — we never receive or store full card details. We keep records of your plan, the properties subscribed, payment status, and charge dates.
Technical basics. Standard server logs (such as pages requested and error records) needed to run and secure the service and to detect outages.
We do not use your inspection data for advertising. We do not sell your personal information or your inspection data to anyone. Nothing you record in the app is sent to HUD by us — what you share with HUD or anyone else is your decision, using your own reports.
Your inspection content is sealed to your company. Access is enforced by the system itself, by role and by property assignment — not just hidden on screen. A user from another company who tries to open your property gets a “not found” response, as if it didn’t exist.
As the platform operator, we can see business and account information: company names, plans, trial status, billing and past-due status, and overall usage counts (for example, how many rounds are in progress across the platform). We do not use operator access to browse customers’ inspection records, deficiency lists, photos, or reports.
When a Plus property uses AI photo-checking, the checkpoint photo and the checkpoint’s pass/fail criteria are sent to a third-party AI provider, which returns a suggested verdict (Pass, Fail, or “Doesn’t match this checkpoint”) with a short explanation. When you use the HUD report reader, the report pages you upload are sent to an AI provider to extract the cited deficiencies for your review before anything is imported.
AI suggestions are advisory only — your team makes every final call, and the app records when a person agrees with or overrides a suggestion. We do not use your photos or reports to train AI models.
Notes and AI explanations are stored in the language their author wrote them. When a teammate views them in a different language, the text may be processed by a machine-translation service and shown to them translated, marked as translated, with the original always preserved and viewable.
We use a small set of service providers (processors) to run the app. They process data only to provide their service to us. Your data is stored with US-based hosting and database providers.
| Purpose | Provider |

| Text-message verification codes | Twilio |
| Email delivery (verification codes, notices) | Zoho |

We may also disclose information if required by law — for example, a valid court order or subpoena — or to protect the security of the service and our customers.
Your company’s account owner or managers may, at any time:
Team members who want changes to their own profile information should contact their company’s manager, or email us.
No system can be guaranteed perfectly secure. If we learn of a security breach involving your data, we will notify affected customers by email without unreasonable delay.
NSPIRE Photo-Check is a business tool for property management teams. It is not directed at children, and we do not knowingly collect personal information from children under 13. Team members provide only their work profile information.
If we change this policy in a way that matters, we will update this page and note the new effective date, and notify account owners by email before the change takes effect where practical.
